Turn a meeting recording into notes people can act on

A transcript preserves what was said. Good meeting notes tell people what was decided and who owns the next step

Quick answer

Transcribe the recording, verify speakers and key decisions, then convert it into a short summary with action items and open questions. Send the notes with a link to the source recording or transcript for context.

Capture with consent

Make sure participants know the meeting is recorded and follow your organization’s rules. Position the microphone so remote and in-room participants are equally audible. At the start, ask people to identify themselves if speaker attribution matters.

A four-part notes template

  1. Purpose: one sentence explaining why the meeting happened.
  2. Decisions: the exact choices made, with any conditions.
  3. Actions: owner, deliverable and deadline for each next step.
  4. Open questions: items still awaiting an answer.

Review the risky parts

AI summaries can compress a nuanced discussion into a stronger statement than the group intended. Replay the audio around deadlines, costs and disputed decisions. Mark a proposal as a proposal, not a decision. If two speakers overlap, correct the attribution before circulating notes.

The free preview covers the first five minutes of the transcript. Eligible connected-workspace plans offer speaker recognition and AI-generated summaries or action items. Treat those outputs as a draft; the meeting owner should approve the final record.

When a full transcript is useful

Keep a searchable transcript for audits, research or lengthy technical discussion. For the everyday attendee, lead with a concise summary. This keeps the record useful without forcing everyone to read a word-for-word document.
